EMPHOS FieldLine Affiliate Privacy Notice

Version: PRIVACY-2026-10-13.

Who handles your information

EMPHOS Group Corporation, British Columbia, Canada, administers the FieldLine affiliate programme. Programme privacy contact: info@emphosgroup.com. Registered/notice address: 9398 Coote Street, Chilliwack, BC V2P 6B5, Canada.

Information and purposes

We use your Shopify account identifier to recognize your signed-in account. We collect your legal/business name, contact email, country, organization and optional website to review your application and administer your relationship with EMPHOS. We keep the agreement version and acceptance record to document the applicable terms.

We record registered customer company names, agreed deal scopes, ownership review, verified Store earning references, commission calculations, adjustments, publisher settlement evidence and payout status to resolve attribution and calculate and account for commission. Provide only business details needed for the referral; do not include unrelated customer personal information or payment credentials.

We collect a recipient email for the PayPal payout method. Destination changes require review. Legally necessary tax/identity information will use a separately approved secure process with its own instructions. Do not put government identifiers, bank account details or tax forms into website support messages.

We use support and privacy requests to respond to you, address disputes and fulfil applicable rights. We use limited security and audit records to protect accounts, prevent fraud and investigate incidents.

Service providers and transfers

Shopify operates the public site and customer login. Cloudflare operates the private programme service and its approved storage. Microsoft operates Store purchasing and publisher reporting. The selected payout provider operates payment delivery and may require a separate recipient relationship.

Information may be processed outside your country under the arrangements described in the processing arrangements described in this notice. Foreign authorities may have lawful access under local law.

Choice, necessary information and marketing

You may choose whether to apply. Required programme information is needed to administer the agreement and payments; we may be unable to approve or pay you without it. Programme terms acceptance is separate from promotional email consent. We will request and record any required marketing consent separately and offer the applicable unsubscribe route. The portal currently does not enrol applicants into an email marketing list.

The initial programme does not place an affiliate tracking cookie on customer browsers. Store campaign identifiers and accepted deal evidence serve different purposes. Any future analytics or tracking technology requires a documented purpose, retention and applicable consent settings before activation.

Protection and retention

Programme access is limited by account identity and staff permissions. Financial events and commission adjustments are immutable accounting records; mistakes are corrected with traceable adjustments.

We retain information only as needed for the stated purposes and applicable obligations. Some accounting, tax, dispute or security records must remain after an account closes or a deletion request is made. Deletion does not silently erase financial history.

Access, correction, complaints and other rights

Use the portal's Help form to request access, correction or deletion, or contact info@emphosgroup.com. We may need to verify your identity and clarify the request. Rights, exceptions and response periods depend on applicable law.

No automated affiliate approval or payment eligibility decision is implemented: staff review applications, attribution evidence, tax/provider readiness and payout conditions.

Updates

We will identify the effective version and communicate material changes through the account contact email.
